SDS Application Process

Problem Statement
Conversion rate for users clicking into the application form to users submitting form i.e., ending up on thank you page is currently only 21%. Feedback that individuals feel it is more useful to go directly to employers’ own websites to apply for a role than to submit applications via app.scot. Some individuals also commented that they did not receive responses to their applications on app.scot.
My Contributions
Is to understand that the individual user experience of application form and submission process.
Employer experience for receiving applications.
Is the information included in an application via site fit for purpose?
If advertising vacancy elsewhere as well, does inconsistency across applications make it difficult to review candidates?

I have focused on the apprentices' application process where most of the apprentices like to apply through other sites than the company's site.The scope of this project is to get the application process smooth and friendly to get more traffic on the site. I have initiated a mapping exercise with the team to understand the project more in detail. After the in-person session, I am taking this forward to get the user interviews done with apprentices and employers who possibly used our site for either applied through our site or upload vacancies. Getting all the data at one place by using miro-board. Time to sketch things out and move toward high-fidelity wireframes.

Discover

To understand the current user journey I have performed mapping exercise with project team includes Stakeholder, Project manager, and developers. Not to avoid I have specifically included customer support team member to understand the pain point with current application process.

Presenting top categories focused on mapping exercise where a man taking on first step and targeting the last step. Where the first step is Discovery and the last step is Goal.

Define

Synthesising the results of mapping exercise. A clear presentation of the user flow on application process for both individuals (pupils) and SME's. The best thing about this activity is that all the team member shared their suggestions to have in this application process. All those suggestions are being marked and focused.

Usability Testing

Usability testing has been performed to understand the pain point of the current flow. These test has been performed for 5 users (each mode).

Questions asked:

  1. How would you rate overall experience of the application Process?
  2. What are your expectations from the company after you send this application?
  3. Do you know whom to contact to follow up on the progress of the application?
  4. How easy to understand the application process?
  5. How do you rate the length of applying for this application?
  6. Is there any information not provided that would have helped you complete it?
  7. Would it have been useful to save your progress and come back to the application later?
  8. Would it be helpful to save your personal statement and get that pre-filled in the form?
  9. Would it be helpful to save your CV into your account?
  10. How do you rate the application process in comparison to other website?

Deliver

At this stage we created mockups as we needed a big change coming up in the future with the whole website redesign. We already had great feedback from both Individuals and SMEs for the application process. I am proud to share that we have increased the number of completing the application process and also increased the users after adding Dashboard layout to the individuals and SMEs.
